When a guardian asks for a copy of the medical record (moving to another city, seeing a specialist, or just keeping it), AllEars.Vet puts everything into a single PDF, with your clinic letterhead and the patient's and guardian's details.
How to export
- Open the patient's page in Patients.
- On the History tab, tap Export, to the right of the History title.
- Pick the period: a shortcut (such as Last 30 days, Last month, Last 12 months or Last year) or the first and last day on the calendar. Left alone, it stays on Whole history.
- Tick what to include and tap Create PDF.
The file is prepared in the background. You can close the window and keep working: when you open Export medical record again, the app shows the progress or the finished PDF. When PDF ready shows up, tap Download PDF. In the mobile app this opens the share sheet, where you can save, print or send it straight to the guardian.
What can go into the PDF
- Consultations, with the Medical record and/or the Summary of each visit, the same as in the consultation PDF.
- Weights and vital signs: weights and body condition scores from the history, plus the vital signs recorded in each consultation.
- Vaccines, with lot, manufacturer and next dose.
- Prescriptions in force (voided or replaced ones are left out). Digitally signed ones are marked.
- Exams, with the description and the report summary.
- Notes from the history.
- Documents linked to the patient (consent forms, certificates, statements), with their text.
- List of attached files: name, type, date and size of every exam, photo and attachment. The files themselves are not inside the PDF.
Everything is in chronological order, within the chosen period. Audio transcripts and AI suggestions you have not approved are never included.
Frequently asked questions
How long is the PDF available?
For 7 days. After that, just create it again: the record is still complete in the app.
Can other people in the clinic see the PDF I created?
No. Each export belongs to whoever created it. Any clinic member with access to the patient can create their own.
Can I send the PDF straight to the guardian?
Yes. Download the PDF and send it however you like. If you want the guardian to follow vaccines, prescriptions and documents without a PDF, use guardian access.
