Mima, the AI assistant

Ask about patients and consultations, request changes to records and prescriptions, and get app help.

Mima is AllEars.Vet's AI assistant. She knows your patients, your consultations and your prescriptions — and she also knows how the app works.

Where to talk to her

Open AI Chat. On desktop it is the full chat page (also in the sidebar) — or click the AI Chat button in the top-right corner to open the chat as a panel beside the current screen. On mobile, the same link opens the chat as a panel that slides over the current screen — close it with the X or by swiping left.

What you can ask

  • About patients and consultations: "Summarise Luna's history", "What was decided in Thor's last consultation?", "Which patients did I see this week?".
  • Medical record tweaks: ask her to rewrite, add to or correct parts of a consultation's medical record — Mima edits it for you.
  • Prescriptions: ask her to create or adjust a prescription (dose, medication, instructions). Signed prescriptions are never altered: Mima creates a new draft version for you to review and sign.
  • App questions: "How do I set up my certificate?", "Where do I change the theme?" — Mima answers with links that navigate straight to the right screen, and can point you to the guides in this Help Center.

The + button next to the message field

The + button gathers everything you can add to the conversation:

  • Attach file — an image, PDF, CSV or text file from your device.
  • Mention a patient — inserts @ and opens the patient/guardian search.
  • Consultation, document or prescription — inserts # and opens that search (exams included).
  • From the patient's history — pick a patient and browse their records grouped by type: consultations, exams, documents and prescriptions. Ideal for attaching an exam that is already in the system instead of uploading the file again. If the message already mentions a patient, the list opens straight on their history.

Mentioning records with @ and

You can also type directly: @ attaches a patient or guardian to the conversation, and # attaches a consultation, document, prescription or exam. A search opens instantly — the most recently updated records come first — and the chosen item is written into the message itself as a link (e.g. @Rex) — delete the mention text to remove it. Mima receives those records along with your message, so "compare #yesterday's consultation with @Rex's previous one" just works. When you mention an exam, Mima reads its summary and can open the full document when it needs the exact values.

Changes ask for your approval

When you ask Mima to change or delete something that already exists — a patient record, clinical notes, a prescription, a document — she does not apply it directly: a confirmation card appears in the chat with a preview of what will change (field by field, old and new values). The change only happens after you tap Approve; Reject discards it without touching anything. Creations (a new prescription, a new document) remain immediate, since they produce drafts you review before signing.

Copy and send what Mima writes

When Mima writes a text meant to be sent to someone — a message to the guardian, care instructions, a social media caption — it appears in a "Ready to send" card: tap the text (or the Copy button) to copy it. If the message is for a guardian with an e-mail or phone on file, the card also shows e-mail and WhatsApp icons that open the message prefilled, ready to send.

One-tap replies

When Mima offers choices ("do you prefer format A or B?"), they appear as buttons above the message field — tap to answer without typing.

Conversation context limit

Very long conversations (or ones with many attachments) approach the limit of what the AI can read at once. When usage crosses 80%, a notice appears above the message field showing what is occupying the context (history, attachments, mentions...) and suggesting you start a new conversation — a near-full context makes replies slower, and the AI may lose older details or fail.

Memory

Mima remembers facts and preferences you mention in the chat — for example, "I always prefer prescriptions with brand names" — and applies them in every conversation. You can also ask explicitly: "remember that I only see cats". To view, edit, delete or reset everything she knows, open Settings → Memory.

You choose where memory is used, on the same screen:

  • Conversations with Mima (on by default) — Mima reads and saves memories during the chat.
  • Prescription and document generation (on by default) — your saved preferences are applied whenever the AI writes or revises prescriptions and documents, from the ✦ AI editor or from the chat.
  • Consultation summary and clinical record (off by default) — applies style and structure preferences to the automatic post-consultation analysis.

The Delete everything button (with confirmation) resets the memory at once. Memories never change a patient's clinical data or your professional details — your name, CRMV and clinic always come from your profile.

Incognito chat

For a quick question that doesn't need to be kept, tap the ghost icon at the top of the chat. It opens an incognito conversation: it never appears in your history, neither reads nor saves memory, and disappears completely when you leave it — by tapping the ghost again, switching conversations, or starting a new chat. On leaving, you return to the conversation you were in.

Links that navigate

When Mima suggests a path like "Settings → Digital signature", the link opens that screen directly in the app — no hunting through menus.

Privacy

Mima only sees your records: the patients, guardians, consultations and prescriptions of your own account.
