Guardian access (portal)

Invite the pet parent to follow their pets' vaccination card, upcoming doses and prescriptions — you choose item by item what they see.

The pet parent portal is a read-only area where the guardian follows what you decide to share: vaccination card, upcoming doses, signed prescription copies and documents. You control everything from the Access tab on the guardian's screen — and revoke whenever you want.

Inviting a guardian

  1. Open the record in Guardians and tap the Access tab.
  2. Tap Create access link. The app mints the link (already copied for you) and composes the invite message; then pick how to deliver it: Send via WhatsApp, Send by e-mail, or paste the link anywhere you like (SMS, another app, printed on the discharge sheet).
  3. When the guardian opens the link, access is activated and the tab shows Active, with the date of their last visit.

The link keeps working. It is the authorization and it does not expire: the guardian comes back to the portal by tapping the same link, in the same conversation you sent it in. It dies only when you revoke the access or use New link (which stops the previous one immediately).

An e-mail is not required. Without one the link works just the same, through any channel. The e-mail lets the guardian sign in with their own account at allears.vet/portal and gather, in one place, the pets they have with several veterinarians. Through the link they always see your slice, never anyone else's.

If the guardian already uses AllEars with another veterinarian, the invite joins the account they already have — you keep seeing and controlling only your slice.

What they see (and what they never see)

On the Access tab you toggle each item:

  • Vaccination card (on by default)
  • Upcoming reminders (on by default)
  • Signed prescriptions — copies through the prescription's public QR page (on by default)
  • Documents and certificates (off by default)
  • Exams and reports (off by default)
  • Weight chart (off by default)

The full clinical record is never exposed — there is no option for it. Clinical notes, suspicions and differential diagnoses always stay with you only.

When the guardian has more than one pet, you can customize per patient: for example, share everything about Thor and only Nina's vaccination card.

Defaults for new invites

In Settings → Guardian access you define what comes enabled in every new invite. Configure it once; each guardian's Access tab is the exception, not the routine.

Revoking and history

  • Revoke: on the Access tab, the Revoke button cuts access immediately. No clinical record is deleted — the record remains yours.
  • Access history: the same tab shows when the guardian signed in and what they opened (card, timeline).

How the guardian uses the portal

The portal lives at allears.vet/portal. The guardian enters through the invite link (and, with an e-mail on file, can request a new one there). The home is a summary: what is overdue across every pet, and one card per pet with its next dose and last record. The full history lives inside each pet, next to the card, the charts and the upcoming doses, each entry attributed to its veterinarian and clinic. Prescriptions and documents open inside the portal, as the document itself (with Download PDF); the public signature-check page stays as a small link underneath, for whoever needs it (a pharmacy, say). Everything is read-only: they change nothing in your records.
