When you stop a recording, AllEars.Vet generates the summary and the medical record automatically: you don't have to do anything for that to happen. Right after, it opens the post-consultation review, which is optional and is there for you to check and adjust what the AI identified. The medical record starts being written as soon as you finish or skip the review (and the transcript is ready). If you leave the screen without tapping either, it is still generated, just a few minutes later.
The post-consultation review (optional)
Check four things: patient, guardian, clinical signs and exams.
- If you change any data and finish, the app reprocesses the summary and the medical record with the new information.
- If you skip (or change nothing), nothing is regenerated, and the review won't show up again afterwards. The Skip button sits in the top-right corner of the review: it's the fastest path when all you want is the medical record.
- The transcript and summary are visible while the AI finishes processing.
If you fill in patient data during the review without having created or selected a patient, the app asks whether you want to create it before moving on — so you don't lose what you typed.
What the AI generates
- Summary: the key points of the consultation, in plain language.
- Medical record: the structured clinical record of the consultation, ready for the patient's history.
Everything lives on the consultation itself, in Consultations.
Reprocess the analysis
If you edit consultation data (patient, guardian, clinical signs) or attach exams after processing finished, the consultation shows a "Reprocess analysis" option — it updates the summary and the medical record with AI using the most recent data.
Editing the summary and clinical record text
Open the consultation, go to the Summary or Visit note tab and tap Edit at the top of the card. On a computer you can also double-click the text itself to open the editor right there — hovering the card shows the "Double-click to edit" hint. The same works on the clinical data block (weight, body score and vital signs).
On a phone the summary and the clinical record open full screen: save with the ✓ in the top bar (✕ leaves without saving). The clinical data block is edited in place instead, with Save and Cancel in the bar at the bottom of the screen.
Structured summaries (with diagnoses and topics) are AI-generated and have no manual editor: to change one, use Reprocess analysis or ask Mima.
Copy the medical record into another system
If you record in AllEars.Vet and then paste the medical record into another system's chart, open the consultation, go to the Clinical Record tab and tap Copy at the top of the card (on a phone it's the two-sheets icon next to share). The text comes without formatting symbols: headings on their own lines and lists with dashes or numbers. Fields that accept formatting keep the headings, bold and lists.
An exam's title and description
An exam arrives named after the file the lab produced ("Laudo_Req_27923.pdf"). Every exam has a readable title and a free-form description, which can be long, to record the report's findings or any note that helps you find it later:
- In the consultation: the Exams tab. Attaching an exam opens the title and description sheet right away; afterwards, the pencil on the file's corner reopens it.
- In the patient history: the exam card has Edit (title and description); long descriptions show a preview with Show more.
It is the same file in both places: editing it in one updates the other. The consultation pencil also renames clinical photos. Deleting an exam that came from a consultation is still done from the consultation. On the patient, + → Attach file also uploads an exam (pick Exam under "What is it?"); documents received from outside (a colleague's prescription, a referral) live in Documents with a Received badge.
Editing the data later
Open the consultation and tap the pencil next to the guardian in the header. There you can:
- Switch the patient and the guardians.
- Register a new patient or guardian via the inline form, without leaving the consultation.
- Edit the record of the selected patient or guardian — that edit is saved immediately and applies to the record across the whole app, separate from the consultation's save button.

Never lose what you were editing
While you edit a consultation's summary or medical record, the app automatically keeps a local copy of the text on this device. If the phone stays locked for a long time, you switch apps or the system closes AllEars.Vet before you save, the app asks "Restore draft?" when you reopen the consultation — tap Restore to return to edit mode with your text where you left off.
The copy is deleted when you save or cancel the edit, does not sync between devices and expires after 7 days if unclaimed.
