Reports

The reports hub — the Clinic dashboard with consultations, revenue and performance per veterinarian, plus lists to filter, print and export.

The Reports hub is a general-purpose area: any list you want to filter, print or export lives there, whatever part of the app feeds it. Every report follows the same shape — filters on top, a table, Export CSV and Print — and whenever a row has a reachable guardian, it carries a ready send action. Money figures are not here: they have their own tab in Finance → Reports.

Clinic dashboard

The Clinic dashboard also lives on the Home screen itself: whoever can see it, in a clinic, gets two tabs at the top, My day and Clinic, and the app remembers the last tab used. In a personal practice the dashboard is only in Reports. It shows how the clinic did in a period: consultations, vaccines applied, average duration, new patients and, for whoever sees all of the finances, charged, received and average ticket. Each number is compared with the previous period or the same period last year (your choice). While the month is still running, the comparison is to date: day 1 to 24 of this month against day 1 to 24 of the other.

  • Period: shortcuts such as This month, Last month, Last 6 or 12 months and This year, or a free range.
  • Veterinarian: in a clinic, the picker narrows everything to one veterinarian.
  • By month: the last 12 months beside the same months of the year before.
  • Visit type, species and revenue by group: where consultations and revenue come from. Click a type to see the consultations.

Performance by veterinarian

One row per veterinarian with consultations (and the change), surgeries, follow-ups, vaccines applied, the most seen species and the average duration. Whoever sees all of the finances also gets charged, received, average ticket and the commission, worked out from each veterinarian's rules in Settings → Finance → Commissions. Click the numbers to see the consultations behind them. To close commissions, use the Production and commissions report in Finance → Reports, which exports.

Who each thing counts for: a consultation belongs to its attending veterinarian (by default, whoever recorded it), a vaccine to whoever applied it, and revenue to the charge's veterinarian. The visit type is suggested by the AI when it writes the summary and can be changed on the consultation itself.

The dashboard is for whoever runs the practice: always available in a personal workspace; in a clinic, it shows for the owner, team managers and members with full finance access.

Clients, vaccines and appointments

  • Clients: how many patients were seen in the period, how many came for their first visit and how many are returning. Right below, the lifecycle splits living patients into active (seen in the last 12 months), at risk (12 to 24 months away) and lapsed (over 24 months). Tapping At risk or Lapsed opens Patients without a visit with the right cut-off, with each guardian's WhatsApp.
  • Vaccine compliance: of the vaccine reminders due in the period, how many were given (here or elsewhere), declined or lost, and how many are overdue. Reminders closed as "no longer needed" stay out of the count. See overdue vaccines opens the list to notify guardians.
  • Appointments: the no-show rate on clinical appointments that already happened, with how many attended, were a no-show, were cancelled or have no outcome. Mark the outcome on the appointment itself (see Calendar); unmarked ones count as attended when the patient had a consultation that day.

My performance

In a clinic, team managers can turn on Veterinarians see their own performance in the clinic's Roles section (the bottom of the dashboard table says whether it is on and links there). Whoever records consultations then finds My performance as a Home tab and in Reports: the same dashboard, with only their own consultations, surgeries, follow-ups, vaccines and appointments, and no financial values. Reception and staff do not get this tab.

Monthly summary email

On the 1st of each month, whoever runs the practice or the clinic gets an email with the numbers of the month just closed (consultations, new patients and, for those who see the finances, revenue and average ticket), compared with the month before and the same month last year, with a highlight written by the AI and a link to the dashboard. Turn it off in Settings → Notifications or through the link at the bottom of the email.

Upcoming vaccines and Upcoming rechecks

What is due in the period, who to notify and who was already notified, with period, unit and professional filters. Every row has the Notify button: the app composes the message, you review and send it on WhatsApp or e-mail.

Birthdays of the month

Who has a birthday in the chosen month, the age they turn, and the guardian's contact. The WhatsApp button opens the conversation with a ready congratulation message — a relationship touch that also reminds the guardian the clinic exists.

Patients without a visit

The reactivation list: patients with no record at all for 3, 6, 12 or 24 months (you pick the cutoff). Any record counts — consultation, weight, vaccine — and a patient that never got one counts from the registration date. Deceased patients stay out. The WhatsApp button opens a ready check-up invite to review and send.

Protocol adherence

Of the schedules you started, how much actually happened. One row per protocol, with the number of applications, how many steps were done (here or elsewhere), how many were lost (guardian declined or you lost touch) and how many are overdue. The adherence % counts only the steps whose moment has already come — future steps and steps you closed yourself (like "no longer needed") stay out of the math. It is the report that shows which protocols work and where guardians drop the schedule.
