Clinic dashboard, a complete Finance and Mima's Run

๐ Notes from the development team
In this version, we focused on running the clinic. Home now has a dashboard with the clinic's numbers: consultations, revenue, vaccines given, calendar no-shows and each vet's performance, with a summary by email on the first day of every month. Finance got a complete review and now has installment charges, monthly plans, price tables for insurers and reconciliation with your bank statement.
We also widened what Mima does day to day. Skills are ready-made tasks, such as the post-visit message or the vaccine reminder, that run with one tap on the patient, guardian and consultation screens. Chat dictation now writes as you speak, and when you ask where something is, Mima takes you to the right screen.
As always, the version also brings several usability improvements and fixes, listed below.
We want AllEars.Vet to be the app veterinarians choose to work with, with artificial intelligence that fits into the routine without fuss and a fair price. Much of this version came from user requests, so keep sending your ideas through Contact us.
And stay tuned for the next releases: we are building new features you have been asking for.

๐ Clinic dashboard on Home

๐ฐ A complete Finance

On the Finance overview, the bar shows how much of the monthly goal is already in and where the month lands at the current pace.
๐ฌ Mima skills and quick actions
At the end of a consultation, one tap on "Post-visit message" brings the text ready to send to the guardian on WhatsApp.

Type / in the chat and pick a skill. The same skills show up as quick actions on the patient, guardian and consultation screens.
๐๏ธ Real-time dictation in the chat
Talk to Mima and watch the text appear as you speak, without waiting for the recording to end.
๐ Search in Settings
Type "invite" or "prescription suggestion" and go straight to the option, without hunting through menus.
๐ Booking that recognizes the guardian
Whoever books through your booking page lands on the calendar already linked to their record, with WhatsApp one tap away in the notes.
๐ฑ Mima's Run
If you use AllEars.Vet, you know Mima, our assistant. In this version she got a little game of her own: Mima, a tuxedo kitten, runs across the screen jumping over cucumbers and balls of yarn and ducking under birds.

The farther Mima goes, the faster the game gets, and soon birds start showing up on the way.
The game shows up on its own on Home when the app loses its connection, to keep you company until the internet is back. But you don't have to wait for the internet to drop to play:
- On your phone: tap your name at the top of Home, right under "Welcome back", five times in a row.
- On a computer: with Home open, type mima on the keyboard, outside any text field.
Tap the screen or press space to jump, and swipe down or use the โ arrow to duck. At the end of each run, tap Join the ranking to compete with colleagues. The ranking shows only your first name and last initial, and Leave the ranking takes you off at any time.

At the end of each run, Join the ranking puts your score in the race.
We can't wait to see you on the ranking! ๐
What changed in this version
New features
- Clinic dashboard, on Home (Clinic tab) and in Reports: consultations, vaccines given, average duration, new patients, billed, received and average ticket, compared with the previous period or the same period last year.
- On the dashboard, a row per vet with consultations, surgeries, follow-ups, vaccines, most seen species and, for those who see finance, revenue and commission.
- The dashboard shows active, at-risk and lapsed clients, vaccine compliance and the calendar's no-show rate, with shortcuts to the lists of who to contact.
- In a clinic, whoever manages the team can turn on "My performance" for the vets, with their own numbers only and no financial values.
- Monthly summary email on the 1st, with the numbers of the month that just closed and a highlight written by the AI. You can turn it off in Settings โ Notifications.
- Mark the outcome of a past clinical appointment: Attended, No-show or Cancelled.
- The visit type (consultation, follow-up, surgery and others) is suggested by the AI in the summary and can be changed on the consultation.
- Installment charges, with an optional down payment and a due date for each installment.
- Late fee and interest, set by you and applied only when you tap "Apply late fee and interest".
- Monthly plans: charges that repeat every month, for health plans, monthly baths or boarding.
- Price tables per insurer, partner or plan, picked on the guardian's record and also used in the charge the AI suggests.
- Bank accounts with balances and reconciliation with your bank statement (OFX file), which matches what fits on its own.
- Monthly revenue goal on the Finance overview, with where the month lands at the current pace.
- Mima skills: type / in the chat to use ready-made tasks such as Post-visit message, Vaccine reminder, Daily briefing or Explain to the tutor. On paid plans, create your own.
- Quick actions on the patient, guardian and consultation screens: one tap opens the chat with that record and runs the skill. Choose which ones show in Settings โ Skills and quick actions.
- Ask Mima where something is and she opens the screen and highlights the right button or field.
- Search in Settings (and in the app's global search), including the options inside each screen.
- Select several consultations and change the patient, the visit type and, in a clinic, the responsible vet at once.
- Mima's Run: a little game on Home, with a ranking among users. It shows up on its own with no connection, and any time with five taps on your name at the top of Home or by typing "mima" on a computer. With no connection, Home also reloads on its own when the internet is back.
Improvements
- Real-time dictation in the chat: the text goes in at the cursor as you speak.
- Booking page: when the WhatsApp or the email and the first name match a registered guardian, the appointment is linked to them and to the pet with the same name. People can also give the pet's health plan.
- An appointment's notes now show and can be edited on the calendar, with buttons to open the WhatsApp and email written there.
- Per-item discount on a charge, and which pet each item was for.
- Refund part of a payment, or refund it as guardian credit.
- Expenses in installments, partial payment of an expense and the bill or invoice attached.
- Commission for whoever did each line of the charge, with monthly, fortnightly or weekly cycles.
- Cost and margin of products and services in the reports, and a cash forecast that starts from your account balances.
- Bulk actions in Products and services: price, category, turn on and off.
- Settings in a single list, with the clinic's settings beside your own.
- In a clinic, new protocols and consultation templates are created for the whole team.
- Deceased patients show last in lists and grayed out.
- The app opens faster and feels lighter in use.
Fixes
- In rare cases, the audio of a long consultation was cut in the middle. The whole recording is now kept.
- Consultations over two hours showed a live transcription error.
- On Android, on a weak connection, part of the audio could arrive late. Uploading the recording's audio now comes first.
- On sign-up, the "Sign up" button could do nothing without saying why. Each field now shows what is missing.
- Mima sometimes said she had not created a prescription or a reminder she had created herself in the conversation.
- On iPhone, the end of the medical record was hidden behind the keyboard in the editor.
- In the browser, time with the computer asleep counted against the recording's time limit, and the microphone could fail to record again after the computer woke up.
- In the pet parent area, the published summary lost its lists and headings, and the pet cards ran past the screen width on phones.
